Executed Contract

  • Review the signed contract, addenda, and disclosures for accuracy and completeness for all parties. Confirm contingencies, deadlines, earnest money, option period, and other critical terms.

  • Introduce all parties via email (agent, buyer, title, lender) and share key contract dates.

  • Add important deadlines to the agent’s calendar.

  • Draft and facilitate contract amendments as needed.

  • Send executed amendments to all appropriate parties.

  • Manage earnest money documentation and release (if applicable).

  • Open the transaction in the agent’s brokerage platform (if applicable).

  • Store and organize documents via Google Drive or the agent’s preferred platform.

  • Prepare and submit all compliance documents for file approval.


 

During the Option Period

  • Monitor and track option expiration dates and related timelines.

  • Coordinate and draft amendments for any term changes.

  • Track and manage other deadlines such as appraisal, inspections, financing, and HOA documents.

Closing Preparation

  • Coordinate with title on homeowner’s warranty (if applicable).

  • Send regular reminders to the buyer about upcoming deadlines and required actions.

  • Confirm loan approval, appraisal, and other closing milestones.

  • Schedule the closing appointment and notify all parties.

  • Coordinate final walk-through scheduling.

  • Confirm the commission disbursement authorization (CDA) is sent to title.

  • Review settlement statements for accuracy before client review.

  • Send final closing confirmation with details and reminders.

  • Close out the file in brokerage platform (if applicable).
